Description:

We are looking to expand and modernise the way in which we operate as a mission and having clear communication across multiple media types and platforms with our supporters, who are predominantly based in the UK, is considered to be essential. As a Mission which mainly supports indigenous missionaries in Europe, many of whom have no prior connection to UK churches, communication of their work effectively to different audiences and demographics is a vital aspect of the work of the mission, and we would like to improve the effectiveness of that communication, and to reach new audiences.

But there is a strong link between the Mission’s communication and its IT, with most of the IT being oriented around maintaining effective communication and relationships with supporters. This is currently relatively simple, but is increasingly cloud-based, centred on a combination of Office 365, Sage (accounting) and Act! CRM, although we are about to invite proposals from external contractors to upgrade this, particularly to improve the CRM and integration between these components.

Role

You would be responsible for overseeing, directing and developing all communications with supporters of the mission, individuals, churches, and other organisations. This would primarily be in support of the Mission Director, the Supporter Engagement Lead, and the Mission Representatives. The Mission Director would have overall editorial control for mission communications. The Mission Representatives would primarily be responsible for developing relationships with churches and individual supporters in different regions but would depend heavily on the centralised content and communications.

You would also be responsible for internal oversight and development of the Mission’s IT, albeit with external support where appropriate.

Ensuring regular communication of the work of the Mission to supporters across media and platforms

  • Ensuring that a regular and frequent stream of well-constructed, content-rich and well-presented material is communicated supporters across different platforms and media types. These include traditional paper-based print, Website, Social Media feeds, Email distribution.
  • The development of the content would often involve other people from the team, and EMF missionaries; in certain areas there are people in the team with specific responsibilities, such as the Vision Magazine Coordinator. But the Communications Lead would have overall responsibility to ensuring a coherent and well-presented set of communications

Preparing for Conferences and Webinars

  • EMF continues to place significant importance in engaging with supporters through in-person conferences and webinars, and these are increasingly enriched with well-prepared content in different forms. The Communications Lead would be responsible for the publicity and content of for conferences, working closely with other staff members involved in the organisation and programmes for the events.

Producing cost-effective video content

  • In recent years the Mission has put significant effort into communicating its work through short form videos and has found this a very effective way to engage supporters. Keeping the costs down in this area, whilst producing content-rich and well-presented material continues to be challenging and depends heavily on working with both missionaries and 3rd parties to source and construct the content.
  • The Communications Lead would be responsible for this area, and a significant amount of video compilation and editing is likely to feature in the role

Managing and developing the Mission’s IT

  • The effectiveness of the mission’s communication and engagement with supporters is critically dependent on its IT. EMF has been gradually improving this over the past few years, to be increasingly cloud-based, centred on a combination of Office 365, Sage (accounting) and Act! CRM. However, significant improvements are still needed.
  • While we rely heavily on external partners to maintain and develop the IT, there is a need for an internal lead to oversee this work and manage it, as well as doing more day-to-day maintenance.
  • The Communication Director would be responsible for overseeing the development of the IT, for basic maintenance, and for internal training.
  • However, there is flexibility in the role with respect to how much of this is outsourced, and the relationship with external suppliers. We do not consider that it is essential for the role-holder to be an trained IT expert, provided that they are comfortable to maintain IT systems and work with external experts

Description:

We are looking to expand and modernise the way in which we operate as a mission, and with one of our staff team leaving us in Spring 2023,we are planning to take on additional staff members.  We have a number of part-time roles, but there is the possibility of combining these into a full-time role, depending on skills.

Role

You would assist colleagues with day-to-day administrative, finance and publicity tasks and would regularly interact with mission workers in Europe, supporting churches and individuals. These tasks would include:

Office Administration:

  • Managing post, emails and phone calls from supporters
  • Recording and banking donations
  • Printing and mailing paper-based newsletters and prayer information
  • Managing invoices received into the office
  • Maintaining office supplies
  • Managing office archiving

Supporter communications:

  • Preparing missionary prayer letters (sometimes in video form) and prayer diaries for distribution
  • Preparing missionary profile leaflets and managing stock
  • Ensuring that regular communications are distributed to subscribers and managing any changes in preferences.
  • Managing requested updates to the contact data records of supporters, and registering their mailing preferences in EMF’s CRM(Customer
  • Relationship Management) systems, currently Act!365.
  • Maintaining regular templated content on the website

Travel administration:

  • Managing travel bookings and itineraries

You would report to the Operations Manager.

Engagement Support Lead

You would be responsible for all the office-based support activities needed to maintain excellent interaction with supporters of the mission, individuals, churches, and other organisations, and to support mission representatives who are engaging directly with churches and presenting the work of the mission. This tasks would include:

Ensuring contact data excellence

  • Ensuring that data records of supporters, their preferences and interactions with EMF are accurately maintained in CRM (Customer Relationship Management) and finance systems, and that high levels of date accuracy are maintained. (Others in the team would also contribute to data input and update)
  • Providing analysis and reports to others in the organisation who are engaging with supporters

Financial Administration

  • Ensuring donations are acknowledged in a timely manner
  • Providing financial information analysis and reports to others in the organisation who are engaging with supporters

Supporter communications

  • Taking the lead on certain regular communications, including regular EMF newsletters.
  • Overseeing interactions on social media, to ensure a regular flow of varied information (even though different people in the team would be responsible for the content)

Planning engagement with supporters

  • Helping to plan for future engagement with churches and other supporters, as well as potential new supporting churches. These meetings include church meetings, meetings with ministers and mission reps, missionary deputation. The role would be to help plan these meetings, alongside other colleagues involved in church engagement, in support of others in the team who would be participating in the meetings.
